An exciting opportunity has arisen within a top Law Firm based in Central London. They are looking for a Team Assistant to work alongside the Senior PA within the firms well-established IP Litigation Group. The group’s work encompasses a broad range of IP disputes and related monitoring and advice. This role will involve working directly with Partners and other lawyers and assisting with general work for the group.
The firm’s longstanding emphasis on the technology, media and entertainment sectors has made it a leader in these fields, and means that they often grapple with cutting edge trade mark issues, such as the protection of brands in the metaverse, and innovative uses of non-traditional marks.
Day-to-day duties may include:
– Providing general administration support for the group
– Provide ad hoc support for the Partners and lawyers on projects as requested
– Assisting with the file opening and file management process, including running conflict checks
– Liaising with fee earners and the Compliance Department, taking ownership of the onboarding of new clients and matters, ensuring that all relevant regulations are complied with. Subsequently preparing draft retainer letters in line with firm and department precedents
– Sorting and collating correspondence and documents for filing onto the relevant hard copy files (including printing emails with all attachments and file accordingly); as well as locating the correct file
– Sorting and collating documents for electronic filing in client folders on Filesite
– Working with fee earners to ensure monthly bills are produced in a timely manner and deadlines are met and submitting expense claims
– Use judgement to manage workload issues; take ownership of enquiries and ensure other issues are referred/delegated to the appropriate person and dealt with in a timely fashion
– Maintain up-to-date contact details for clients and all other contacts using Interaction
Other Requirements:
– Previous experience within a busy law firm is preferable
– One year’s administration experience in a similar role
– Excellent IT skills with fast and accurate typing
– Excellent time management and organisational skills
– Strong attention to detail
– Works well under pressure
– Adaptable and flexible
– Team player
– Outgoing, enthusiastic, hard-working and confident
– The capability to keep matters confidential
– Positive and proactive approach to your work
– Flexibility as to hours and the role itself
