A successful law firm in the Heart of the City is looking for an additional member in their Intellectual Property team with a Junior PA to provide secretarial and administrative support to a minimum of 5 fee earners, with guidance from a Legal PA. You also will be one of a team of people who organise travel arrangements (air/train tickets) for fee earners in the firm.
Main duties:
- Responsible for ensuring that all typing is completed within the required time frames.
- Responsible for ensuring that client files are maintained and up to date at all times, including the opening and closing of client matters, and filing of relevant documentation.
- Obtaining billing guides and preparing draft bills (with fee earner input).
- Responsible for the creation and maintenance of new clients’ records on SOS.
- Managing fee earner’s diaries on a daily basis, including organising and scheduling meetings, appointments, conference bookings, arranging lunches etc.
- Organising file reviews for the department and working with Risk & Compliance to ensure deadlines are met.
- Assisting fee earners in arranging and booking various training courses by completing training requests, booking individuals on courses, requesting payment from Accounts etc.
- Support fee earners in greeting client visitors to the office, this may include setting up rooms with water / glasses if required
- Managing travel arrangements (including flight or train bookings).
- Supporting the wider team by assisting in any overflow of outstanding secretarial work.
- Other tasks commensurate with the post as required.
Candidates that have previous experience in a Team Assistant role within professional services will be considered but ideally Legal background.
