AJ Chambers are partnered with a Top National Law Firm with a great reputation in the market recruiting for a Trainee Team Legal Secretary.
You will be joining the Private Client team who are growing due to success.
Responsibilities:
· Work responsibly to support the needs of fee earners across the Private Client department and the priorities given delivering a quality service
· Operate case management system including storing documents electronically – organising and attaching to relevant matters
· Familiarity with all relevant computer packages including, but not limited to, PDF Docs, I-Manage, Elite-3E and SOS
· Deal with administrative routines as required to include scanning, e-faxing, printing, photocopying, binding and sewing Wills
· Be involved in the efficient management of client/matter files to include general filing in a timely and accurate manner
· Be the first point of contact for clients requesting original documents and communicate our compliance requirements for release
· Understand how to use the strong room including searching for and retrieving documents and procedures for sending out original documents
· Meet clients’ needs and ensure they are kept updated as necessary
· Manage incoming and outgoing mail in all mediums i.e. Post, emails and fax transmissions.
· Monitor compliance and Lexcel requirements, assisting other departmental secretaries with their fee earners’ compliance reports as required
· Attend clients both in person and on the telephone as required, providing such support in a professional and friendly manner in keeping with the Company’s standards for client care
· Provide the team with overflow digital dictation, secretarial and administrative support
· Be flexible as a member of the wider Private Client support team and assist with work as required, co-operating with peers and others, ensuring a co-operative team environment
· Ensure the confidentiality of all the company’s and clients’ information
· Appreciation of legal procedures and Company protocols
· Any other reasonable requests from Fee Earners and other colleagues
Skills and experience
· Willingness to learn, ability to multi-task and proactive approach to tasks
· Experience as a secretary and use of digital dictation tools is advantageous
· Computer literacy, with strong working knowledge of microsoft office
· Excellent attention to detail, including spelling and punctuation
· Ability to communicate effectively at all levels, to remain calm and respond well in pressurised situations
· Ability to organise own work effectively and plan well to meet required deadlines
· Evidence of a problem solving “can-do” attitude and the ability to work effectively in a team environment
· Experience of working in a professional organisation with the ability to demonstrate a basic knowledge of fee-earners’ work
