We are seeking an experienced and highly organised Legal Personal Assistant to provide comprehensive support to senior stakeholders, fee earners and clients.
As a Legal PA you will play a key role in ensuring the smooth delivery of client services, acting as a trusted support partner across a broad range of administrative, financial, client relationship and project coordination activities.
Key Responsibilities
Client & Stakeholder Support
· Act as a key point of contact for clients, managing communications professionally and efficiently.
· Build and maintain strong relationships with internal stakeholders and external clients.
· Coordinate client meetings, ensuring all logistics, materials and follow-up actions are managed effectively.
· Support client care initiatives and contribute to delivering an outstanding client experience.
Diary, Travel & Meeting Management
· Manage complex diaries and scheduling for senior stakeholders.
· Organise meetings, conference calls and events, including room bookings, catering and technology requirements.
· Coordinate domestic and international travel arrangements and itineraries.
Project & Business Support
· Assist with the preparation of presentations, pitches, reports and client-facing materials.
· Coordinate and support client projects, ensuring deadlines and deliverables are met.
· Work closely with Business Development and Marketing teams on events, initiatives and client activities.
· Identify opportunities to improve processes and enhance service delivery.
Financial Administration
· Support billing, invoicing, expenses and time recording processes.
· Liaise with finance teams regarding client accounts, billing queries and credit control matters.
· Produce financial and management reports as required.
Administrative & Compliance Support
· Manage file opening, conflict checks and risk assessment processes.
· Draft engagement documentation and maintain accurate client records.
· Ensure information is updated across relevant systems and databases.
· Coordinate document production, scanning, filing and administrative workflows.
· Monitor and prioritise workloads to ensure deadlines are consistently achieved.
About You
· Experienced in a Personal Assistant, Executive Assistant or Client Services support role.
· Comfortable working within a professional services, legal, financial or corporate environment.
· Highly organised with the ability to manage multiple priorities simultaneously.
· Proactive, solutions-focused and able to work independently.
· Confident communicating with stakeholders at all levels.
· Skilled in Microsoft Office and experienced using business management systems.
· Detail-oriented with a commitment to accuracy and excellence.
