The firm are seeking to add an experienced lawyer at salaried partner level, to join their busy and growing private client department. Legal PA - Tax and Trust Team

AJ Chambers are working with a top International Law firm based in Central London assisting them with the recruitment of a Legal PA to assist the Fee Earners in their day to day duties.

Role and Responsibilities (this is a broad but not exhaustive list)

Administrative

  • Participate in distribution of work and monitor progress of work allocated to Client Service Administrators to ensure tasks are completed in a timely manner
  • Monitor and track all tasks and prioritise accordingly
  • Diary management and coordination to ensure Partners and Fee Earners receive regular updates on meeting arrangements
  • Take responsibility for room booking and meeting coordination, including confirmation of attendees, arranging relevant technology, refreshments, and catering
  • Ensure travel bookings are completed and that relevant information is submitted and communicated in advance
  • Arrange for the photocopying, scanning, printing and filing to be carried out by the team
  • Arrange for files to be opened, closed and maintained

Other duties and responsibilities

Other duties could include Project Co-ordination and Client Relationship Management where you will be setting up processes for client matters through liaison with Partners, Fee Earners and client contacts and supporting Partners, Fee Earners and the Business Development and Marketing Teams with preparation of pitches,presentations and events and with other projects and tasks. You will take an active role in relationship management and client care, enter and ensure accuracy of client information on the Client Relationship Management system, currently InterAction and arrange client meeting

The successful candidate will have an accurate typing speed of at least 60 words per minute and have an advanced knowledge and experience of using Software including all Microsoft Office packages. Previous experience working within a Private Client department or Family department would be ideal.

Main duties will include but not limited to:

  • Managing diaries, ensuring they are up to date and reminding fee earners of meetings etc on a daily basis
  • Arranging meetings, booking conference rooms, refreshments, checking rooms prior to meetings etc and liaising with other attendees, both internal and external
  • Organising complex travel and accommodation arrangements, ensuring confirmation of reservations, dealing with related invoices and putting together accurate schedules for fee earners

Experience:

The Legal PA also has a responsibility to ensure that their skill set is up to date and they are familiar with the Firm£s departments, key personnel, clients, internal systems and procedures. This will ensure that the Legal PA is able to carry out his or her role effectively and, where appropriate, discuss any training requirements with the Team Leader. In addition to this, they should have:

  • Accurate typing speed of at least 60 words per minute
  • Advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint, research tools and other systems implemented by the Firm
