AJ Chambers are working closely with an International Law Firm in the heart of the City who are looking to employ an experienced Legal PA within the Business Development and Marketing team.

This is a key role within the Business Development & Marketing team for a proactive, organised and driven Personal Assistant to support the Director of Business Development and Marketing and the Heads of teams. The successful candidate will also have the opportunity to manage Business Development and Marketing projects.

Role and Responsibilities (this is a broad but not exhaustive list)

  • Providing an effective administrative service to the Director of BD & Marketing and Heads of teams and the wider team
  • Supporting with tasks, initiatives and processes for the Business Development and Marketing team (including the appraisal process, managing the team diary, presentations) and, working collaboratively with the Director of BD & Marketing and Heads of teams to identify opportunities to bring structure and efficiency around these processes
  • Diary management, supporting through creating agendas, taking minutes, creating recordings, liaising with attendees and presenters and identifying and following up on action points.
  • Meeting scheduling and diary management
  • Providing necessary documentation in a timely, efficient way for internal and external meetings
  • Taking minutes of meetings, where necessary
  • Liaising with internal and external person/s for all meeting logistics including venue, attendance, refreshments
  • and the distribution of materials
  • Managing travel including visas and itineraries, where applicable
  • Processing invoices, purchase orders and expense claims in a timely manner
  • Help prepare and administer Marketing budgets
  • Responding to correspondence via post and email
  • Answering and transferring telephone calls to the relevant person/team
  • Taking ownership and maintaining the Business Development and Marketing intranet pages, ensuring content is
  • kept up to date and accurate
  • General administration tasks including preparing documents, proof reading and the creation of PDF bundles
  • Manage Business Development and Marketing projects and tasks
  • Providing ad hoc support to firm events
  • Attending team meetings to share information and have clarity on future actions
  • Managing team social events

Qualifications and Experience

  • Previous experience in a PA role to senior leadership teams is essential, ideally in a legal environment
  • Previous operational experience is desirable
  • A good working knowledge of Microsoft Suite, including Microsoft Outlook, Word, Excel and PowerPoint
  • Experience working with a team of high-achieving individuals who work in a pressured environment
  • Recognised appropriate qualifications or equivalent relevant experience
  • Exceptional level of professional discretion and political savvy, with good judgement and ability to navigate and influence multiple senior stakeholders

    About the role

    Semi-Senior Accountant to work within a busy Accounting Solutions Department in the London office, which provides a wide range of services to clients, including accounts preparation, bookkeeping and the production of management accounts and information.

    The main duties for this position will involve working on the books and records for sole traders, partnerships and limited companies (including those within groups) along with the preparation of VAT returns, statutory and management accounts.

    The ideal candidate will have relevant previous experience, have completed their AAT qualification and will be self-motivated, computer literate and have good written and verbal communication skills. Study support may be made available for candidates completing or looking to complete their ACCA qualification.

    Key tasks and responsibilities:

    Undertaking bookkeeping on behalf of clients (in house or at client premises), including processing transactions from documents provided by the client and reconciling control accounts, including Bank, Sales ledger, Purchase ledger and VAT The preparation and completion of client VAT returns, including liaising with the client to provide the required information, producing supporting schedules and completing the VAT return by the deadline Completing small accounts and management accounts assignments, with appropriate training, guidance and supervision. To include completion of the accounts file, in accordance with procedures and production of accounts on CCH Central Software for review by Managers.
