AJ Chambers is working alongside an international law firm that is seeking a skilled and versatile Float Legal Secretary to join their reputable law firm. As a Float Legal Secretary, you will play a pivotal role in providing comprehensive administrative and secretarial support across various legal departments within the organization.

Responsibilities:

  • Administrative Support: Provide high-quality administrative assistance to legal professionals, including attorneys, paralegals, and legal assistants, in multiple departments as assigned.
  • Document Preparation: Draft, revise, proofread, and format legal documents, correspondence, memos, and court filings accurately and efficiently.
  • Calendar Management: Manage complex calendars, schedule appointments, coordinate meetings, and ensure deadlines are met in a timely manner.
  • Case Management: Assist with the organization and maintenance of case files, including filing documents, indexing records, and tracking key dates and deadlines.
  • Research and Documentation: Conduct legal research, gather relevant information, and assist in preparing legal briefs, summaries, and reports as requested.
  • Client Communication: Interact with clients, both in person and over the phone, professionally and courteously, providing general information and routing inquiries to the appropriate legal professionals.
  • Court Filings and Docketing: Prepare and file legal documents with courts, administrative agencies, and other relevant entities. Monitor and update case dockets as necessary.
  • Billing and Timekeeping: Assist with time entry and billing activities, including recording billable hours, preparing invoices, and tracking client expenses.
  • File Management: Maintain electronic and physical filing systems, ensuring confidentiality, accuracy, and easy retrieval of documents.
  • General Support: Provide general office support, including answering phones, managing incoming and outgoing mail, ordering office supplies, and coordinating travel arrangements.

Requirements:

  • At least 3 years experience working as a legal pa within a law firm.
  • Excellent organisational skills.
  • Excellent communication skills.
  • Excellent interpersonal skills.
